How to share a profile folder with other members of the work group in MicroStrategy Web 9.x. and later

A user may want to share some reports and documents with other members of the same work group in Strategy Web 9.x.
Consider the following scenario:
In the Strategy Tutorial project, the user Brian Kelt (bkelt) belongs to the 'Managers' group. This user wants to create a shared folder inside his 'My Reports' folder so that other members of the 'Managers' group can see his objects.
Follow the steps below to achieve the desired result:

  • Create a folder called 'Bkelt's shared folder' inside Brian Kelt's 'My Reports' folder, as shown below:

  • Log into the project from Strategy Desktop 9.0.x using administrative credentials.
  • Browse into the 'Profiles' folder and locate Brian Kelt's folder. Right-click on the folder and select 'Properties' as shown below:

  • On the security tab, modify theACL to add the 'Managers' group with 'View' permission. Check the options for 'Apply changes in permissions to all children objects', 'Overwrite children's access control lists', and 'Recusively' as shown below:

  • Create a shortcut to 'Bkelt's shared folder' in a location where the users can reach it such as Public Objects > Reports, as shown below:
ka04W000000Of8VQAS_0EM4400000028nL.jpeg
  • Modify theACL for the shortcut so that only the 'Managers' group has access to it, as shown below:
ka04W000000Of8VQAS_0EM4400000028na.jpeg
  • Users from the 'Managers' group will now be able to access the shared folder and all the objects stored on it by clicking on the link on 'Shared Reports', as shown below:

NOTE: The 'Managers' group will not be able to access the shared folder in Desktop, only in Web. This is because the profile folder that contains the shared folder does not have View access for the Managers group. This is a known issue in Strategy 9.x.
