KB19757: Data Preparation at the Intelligence Server level for Dashboard Performance Optimizations

The amount of data retrieved and objects being used in a Report Services Dashboard have a direct impact in the size of the final Dashboard. The bigger the Dashboard size the longer it will take to be prepared, be sent to the client, and render.
Data Preparation at the Intelligence Server level
The first step the Strategy Intelligence Server does after having executed the separate datasets present in the Report Services Dashboard is to create a Virtual Dataset.
Strategy Intelligence Server joins all of the dataset results into one master table, called the "virtual dataset" or "master dataset." The master dataset includes the union of all the attributes in the dataset reports, as well as one column for each metric in the document. This join takes place even in dashboard-style documents, in which the individual datasets are used only as distinct grid or graph objects. The Intelligence Server creates the "virtual master dataset" in memory comprising attributes, metrics, consolidations and custom groups that include a matching of common elements across the datasets. For instance, if the same attribute is repeated across several datasets, there is no need to keep multiple copies of that attribute in memory.

 
The above two images show an example of a "virtual dataset". The attributes Region and Category are common in both datasets but the metrics are not. The "virtual dataset" combines in memory the elements in both datasets to be used in Report Services Documents.
Virtual Dataset creation can become a bottleneck for Dashboard performance with a large number of reports involved and large datasets (on the order of hundreds of thousands of rows). A data preparation bottleneck can be identified by using Strategy Enterprise Manager statistics, reporting on document jobs down to the level of the Document Job, Document Job Step Sequence and Document Job Step Type attributes, and focusing on the "DP Execution Duration hh:mm:ss" metric. Documents consistently showing long execution times in the Data Preparation step are likely to benefit from the following recommendations.
Optimization Techniques

• Reducing the number of datasets present in the document will decrease the "virtual dataset" creation time by the analytical engine. Try combining common elements in datasets at the report level instead of relying this process to the analytical engine.
   
  If the architect identifies two datasets that will be sharing the same attributes and only the metrics differ try creating one report that combines both. A good example of this are the two screenshots above used to illustrate the "virtual dataset" creation. Those two reports could have been combined into one report leveraging the dataset creation to the SQL engine.
   
  
• Significant performance degradation could occur when using an OLAP report as a dataset in a dashboard instead of a regular report. This is because the analytical engine needs to process extra information and make an additional copy of the base report every time the dashboard is executed. Instead try using regular reports applying view filters. The OLAP functionality will be mimicked by the view filters and will speed up the process of data preparation.
   
  
• Text fields from the same dataset perform better than using an entire dataset as a grid. However using grids from different datasets perform better than text fields from different datasets.
  This is true for small and medium size grids only. If too much of data needs to be displayed, grids perform better than fields in both scenarios.

• The total number of dataset instances present in the dashboard will also have an effect in the amount of time spent during data preparation. Reducing the total number of instances will help improve data preparation
• Thresholds need extra processing on the Intelligence Server. A small number of thresholds won't make much impact but when taking into account the number of views and the number of thresholds in each view, the cost will eventually add up.
• View Mode contains the least amount of information to process. If no interaction is required, using View Mode would improve the loading speed of the Document.
  
• Group By will improve the loading speed of the document in DHTML mode. However, having Group By does not improve the performance in Flash mode, since all groups are loaded at once.
